When you declare dividends, you will need to call a meeting, prepare minutes & dividend vouchers. You will also need to distribute the dividend vouchers among the shareholders. Your shareholder will need these vouchers for their tax returns. In your company, the shareholder will be yourself. So, it is necessary that you prepare the dividend vouchers.

When you finalise the annual accounts, you will pass board resolutions to approve the accounts.
